Client Overview

The client operates in the self-storage industry, providing secure storage spaces for individuals and businesses. With multiple storage units across various facilities, the client required a reliable and scalable solution to manage locker access while maintaining high standards of security and operational efficiency.

As the business expanded, traditional locking systems and manual access management became increasingly challenging. The client required a centralized Smart Lock solution to simplify access control, enhance security, monitor lock status and security events, and ensure reliable long-term operation in both online and offline environments.

The Challenge: Securing and Simplifying Self-Storage Access

As self-storage facilities continue to expand, managing secure access to individual storage units has become increasingly challenging. Traditional locking systems rely on physical keys and manual administration, making it difficult to manage user access, monitor locker activity, and maintain complete visibility across facilities.

Modern self-storage operations also require centralized management of multiple locations, storage units, users, and access permissions while providing real-time visibility into lock status, device health, and security events. At the same time, authorized users expect secure and uninterrupted access to their assigned storage units.

Battery-powered Smart Locks introduce additional requirements, including long battery life, reliable operation during network interruptions, and secure event recording. These challenges created the need for an intelligent IoT-enabled Smart Lock solution that delivers secure authentication, centralized access management, real-time monitoring, and scalable connectivity.

The Solution: Smart Lock Solution for Self-Storage Facilities

To address the operational, security, and access management challenges of modern self-storage facilities, a comprehensive Smart Lock solution was implemented to provide secure, intelligent, and centralized access control. The platform streamlines facility operations, enhances security, and delivers complete visibility into storage unit activities through an integrated hardware and software ecosystem.

The solution combines a battery-powered Smart Lock, embedded firmware, LoRaWAN connectivity, a web-based management dashboard, and a mobile application into a unified platform, enabling operators to centrally manage facilities, storage units, users, and access permissions while providing authorized users with secure and convenient access to their assigned lockers.

Designed for reliable operation, the Smart Lock supports both offline and online modes, allowing user authentication, lock operation, and event logging to continue locally during network interruptions while securely synchronizing operational data once connectivity is restored.

To accommodate different operational requirements, the solution supports Keypad-based access, NFC Smart Cards, and NFC P2P. Combined with centralized device management, real-time monitoring, and low-power LoRaWAN communication. it provides a scalable and efficient access control platform for self-storage facilities.

System Architecture

System Overview

The Smart Lock system architecture is designed as a layered IoT solution that connects edge devices installed on storage units with a centralized cloud platform and user-facing applications. The system enables secure access control, real-time monitoring, and remote device management across multiple self-storage locations.

The architecture is structured into four main layers: Smart Lock , Connectivity Layer , Cloud Platform , and Application Layer.

Architecture Components

  • Smart Lock : The Smart Lock acts as the edge execution unit installed on each storage unit. It shall perform local authentication using Keypad, NFC Card, or NFC P2P and control the mechanical locking mechanism. It shall also capture lock state changes, tamper events, and battery status.
  • Connectivity Layer : The connectivity layer shall enable secure communication between Smart Lock devices and the cloud platform. It supports uplink data transmission for device events and downlink communication for remote commands such as lock/unlock and configuration updates.
  • LoRaWAN Network Server (LNS) : The LoRaWAN Network Server (LNS) manages LoRaWAN communication between gateways and Smart Lock devices. It shall process uplink and downlink messages, perform device authentication, manage device sessions, eliminate duplicate packets received from multiple gateways, and securely forward validated data to the application platform.
  • Application Layer (Dashboard & Mobile App) : The application layer provides interfaces for administrators and users. The dashboard shall enable monitoring of device status, access logs, and user management, while the mobile application shall support remote access operations and user authentication workflows.

System Data Flow:

  • User initiates access via Keypad / NFC / Mobile App
  • Smart Lock validates authentication locally
  • Lock Unlock event is generated and sent to cloud via uplink
  • Cloud validates and stores event in system database
  • If required, cloud sends command back via downlink
  • Smart Lock executes action and updates status

Key Behavior:

  • Smart Lock operates independently in offline mode using local validation
  • Cloud ensures centralized access control and audit tracking
  • All communication between device and cloud is encrypted and event driven
  • System supports real time updates when connectivity is available

Secure & Flexible Access Methods

  • The Smart Lock supports multiple authentication methods to accommodate different user preferences and operational requirements.
  • Whether using a Keypad, an NFC Smart Card, or an NFC P2P, each method provides a secure and intuitive access experience.
  • Authentication credentials are centrally managed through the platform, enabling storage facility operators to assign, update, or revoke user access while maintaining consistent security across all storage units.

Solution Operational Workflow

The Smart Lock solution follows a structured operational workflow that defines the responsibilities of each user role throughout the device lifecycle. From device provisioning and configuration to user management and secure locker access, each workflow is designed to ensure efficient operations, centralized administration, and secure access control across self-storage facilities.

Super Admin Workflow

Device Registration & Provisioning

The Super Admin registers Smart Lock devices, assigns them to customer accounts, and prepares each device for deployment within the platform.

Administrator Management
Administrator accounts are created and assigned appropriate permissions to manage storage facilities and Smart Lock devices.
Access Configuration
Authentication methods, access validity, device assignment, and operational parameters are configured before deployment.
System Monitoring & Configuration
The Super Admin monitors access activity and configures battery, temperature, and tamper thresholds to ensure reliable device operation.

Admin Workflow

Storage Unit Configuration
The Admin assigns Smart Lock devices to storage units and configures installation details and operational settings.
User & Access Management
Users are registered, authentication methods are assigned, and access permissions are managed according to operational requirements.

Device Configuration
Battery, temperature, and tamper thresholds are configured to maintain secure and reliable Smart Lock operation.
Operational Monitoring
The dashboard provides complete visibility into device status, authentication history, user activity, and security events for efficient facility management.

End User Access Workflow

User Registration
After registration by the Admin, users receive access credentials based on the assigned authentication method.
Secure Authentication
Users access the assigned storage unit using a Keypad, NFC Smart Card, or an NFC P2P.

Access Validation
The Smart Lock validates user credentials locally and unlocks the storage unit upon successful authentication.
Event Logging & Synchronization
Every authentication attempt, including successful and failed access, is recorded with timestamps. Device status, battery level, tamper events, and operational logs are synchronized with the centralized platform whenever network connectivity is available.
